Direct answer: The best Xero-integrated trade app is the one that matches your actual data loop. Check contacts, invoice lines, tax codes, credit notes and payments field by field. Checker, Tradify, ServiceM8, Fergus and Workever publish two-way capabilities, but the scope differs, so test one low-value transaction before connecting live books.

“Integrates with Xero” can describe anything from a CSV export to a continuous two-way connection. Those are not small variations. They determine whether an invoice is typed once, whether a payment in Xero closes the job elsewhere, and whether correcting a customer creates a second customer instead.

Start with the accounting event that causes work today. For many trades businesses it is the gap between finishing a job in the van and recreating the invoice later. For others it is payment status, supplier bills, job costs or VAT codes. A logo on an integrations page does not tell you which of those problems is solved.

What does “integrates with Xero” actually mean?

An integration is a defined exchange of data between the job system and Xero. Define it with four questions:

  1. Which record moves?
  2. In which direction?
  3. At what point in its status?
  4. What happens when it changes or fails?

For example, “invoice integration” might mean that an approved invoice created in the trade app is copied to Xero once. A deeper connection might also return payment status, keep contact changes aligned, carry tax and account codes, and update a corrected invoice under controlled rules.

The Xero App Store makes this easier to inspect for listed products because each page has a shared data section. Tradify’s listing shows invoices and items shared both ways, with accounts, tax rates, payments and contacts moving in defined directions. ServiceM8’s listing separately describes invoices, payments, contacts, accounts and items moving both ways, with some accounting data imported from Xero.

That level of detail is the standard to ask of every vendor, whether or not it is listed in the store.

One-way or two-way: which UK trade apps sync both directions?

Two-way does not have to mean every record moves both ways. It means at least some relevant data can be created or updated in either system and reconciled back.

Checker uses two-way Xero sync for invoices and payments. Its accountancy workflow is designed around a lock date, so historic reconciled records before the chosen cut off are left alone while current invoices and payments can stay aligned. Evaluate it as a full two-way connection in practice using the same controlled transaction test as every other product.

Tradify’s Xero App Store page explicitly calls its connection two-way and details shared invoices, items and other accounting data. ServiceM8 says clients, items, invoices and payments can update between systems. Fergus describes a two-way data feed and says customer details, supplier invoices and payments appear where needed. Workever’s own help centre states that contacts, tax rates, account codes, saved cost items and invoices can sync both ways, with payments reflected between the systems.

For simPRO, Joblogic, Powered Now, BigChange and Gas Engineer Software, do not infer the entire data direction from the presence of a Xero logo. Ask for the current field map. Products and connector versions change.

Which trade apps are actually listed in the Xero App Store UK?

The UK Xero App Store currently has dedicated pages for Tradify, ServiceM8, Fergus and simPRO, among others. Xero also publishes field service, job tracking, construction and trades collections.

An App Store listing is useful because it exposes shared data and reviews in a consistent format. It is not a universal quality mark and it is not the only legitimate way to connect. Xero itself says businesses must assess an app’s performance, quality and suitability.

Checker is not being described here as Xero App Store listed. Its Xero connection should be trialled against the same data checklist. The practical evidence is a successful test in your accounts organisation, not where the product was discovered.

Does the sync cover invoices, payments, or both?

Test the full loop with a low value draft transaction in a safe period:

  1. Create the customer in the normal starting system. Check whether the other system creates or matches the right contact.
  2. Raise and approve an invoice. Confirm line descriptions, quantities, tax rates, account codes, due date and reference.
  3. Record a part payment. See whether the balance returns to the job system without closing the invoice early.
  4. Correct a controlled field. Learn which system is authoritative and whether the change updates or duplicates the record.
  5. Create a credit note. If this is part of your real workflow, make sure it remains linked to the right invoice.
  6. Force a safe error. Use a missing mapping in a test record and inspect the alert, retry and audit trail.

A sync that handles invoices but not payments can still remove duplicate entry, but the office may continue checking Xero manually before marking jobs paid. A payment return can close that loop. The distinction should be explicit in your buying notes.

Run the same test for edits after approval. Some businesses correct descriptive text in the job app while the accountant adjusts codes in Xero. Without a declared source of truth, both changes can be valid and still collide. Write down which system owns customer identity, invoice content, tax treatment, payment allocation and credit notes. The integration should support that operating rule rather than silently choose one for you.

What about QuickBooks and Sage?

Xero may be the target search, but the correct accounting package is the one your business and accountant can operate reliably.

Do not choose a field service platform first and force an accounting migration around it. Put your accountant in the test. Ask which chart of accounts, VAT treatment, CIS or domestic reverse charge handling, tracking categories and reconciliation habits must survive.

What changes for sole traders under Making Tax Digital from 6 April 2026?

Making Tax Digital for Income Tax is now mandatory for sole traders and landlords whose qualifying income from self employment and property was more than £50,000. HMRC says the start date was 6 April 2026 for those in the first group. Qualifying income is gross income before expenses, based on the relevant previous tax return.

The first quarterly update deadline was 7 August 2026. HMRC’s timetable then gives 7 November 2026, 7 February 2027 and 7 May 2027 for the remaining updates in the first year. Quarterly updates do not replace the annual tax return.

This does not mean your job app submits an Income Tax update by itself. HMRC requires compatible software and digital records. A field service integration can improve the quality and timing of sales data entering the accounts package, while the MTD compatible accounting workflow handles the reporting obligation.

For a one person trade business, the operational change is cadence. Waiting until the annual tax return to repair missing references and untangle personal from business transactions is no longer a sound digital record routine. Close jobs promptly, send invoices from the agreed system, attach the right customer and tax treatment, and reconcile exceptions while the work is still recognisable. Quarterly reporting does not require four full annual accounts exercises, but it does reward cleaner records throughout the year, each week.

HMRC says no penalty points will be applied for late quarterly updates in the 2026 to 2027 tax year. That first year treatment does not remove the requirement to send the updates before the tax return, and it is not a reason to postpone setting up the record flow.

Important limit: accounting integration is not tax advice. Check whether you are in scope, what income counts, which exemptions may apply and which software is recognised with HMRC or your accountant.

How do you connect your trade app to Xero?

The exact screens vary, but a safe setup follows the same pattern.

Choose the Xero organisation carefully. Confirm the user authorising the connection has the right access. Set a cut off or lock date if the app supports one.
