Checker Automations are four simple message workflows that fire off on their own, based on what’s happening with your jobs, quotes and invoices. They use your branding, your logo and a sensible bit of default wording that you can change to suit you. Any reply the customer sends comes straight back to your normal Checker inbox, so nothing slips through the cracks.

If you’re an OFTEC-registered oil engineer juggling boiler services, landlord certificates and follow-ups, automations take the paperwork off your plate without making your customers feel like they’re being spammed by a robot.

Feature 01

Appointment Reminders

Customers forget. A short reminder before the job means they’ll be in, the boiler will be accessible, and you won’t waste a trip in the van.

How it works

  • By default, Checker sends one reminder 24 hours before the booked time.
  • You can change the lead time, the wording and the channel (email, SMS or both) in the dashboard.
  • The message uses your company branding, so it feels personal.
  • If the customer replies, it pops up in your normal Checker inbox.

Feature 02

Quote Chaser

Quotes go cold quickly. The Quote Chaser sends up to three branded follow-ups after you send a quote, each one a bit firmer than the last, and each with a one-click Accept button for the customer.

How it works

  • Default timing: day 7, day 10, day 14 after the quote is sent. You can change all of it.
  • A maximum of 3 messages per quote, sent by email, SMS or both.
  • Each message steps up in tone, from a friendly nudge to a gentle reminder to a final shout.
  • Sent to the customer, the on-site contact, or both.
  • Every email carries your logo, your phone number and a big Accept Quote button.

Feature 03

Invoice Chaser

Cash flow shouldn’t rely on you remembering to chase. The Invoice Chaser kicks in the moment your payment terms run out, and works its way from polite to firm.

How it works

  • Starts as soon as the invoice goes past its payment terms (so 14-day terms means the first chaser fires on day 14).
  • Up to 3 chasers per invoice, and you can switch each one on or off.
  • Every message can be edited. Keep it friendly, or set a firmer final notice.
  • Stops on its own the moment the invoice is marked as paid.

Feature 04

Annual Service Reminder

Repeat work is the easiest work to win. Eleven months after a customer is added to Checker, we send one well-timed message reminding them it’s nearly a year since their last visit and asking if they’d like to rebook.

How it works

  • Fires 11 months after the customer record is created. You can change the timing.
  • One email or SMS (you choose), branded with your company details.
  • The default wording explains why an annual service matters: boiler safety, OFTEC compliance and landlord gas safety certificates.
  • Replies come straight to your inbox, so you can book the visit in.

Where messages and replies land

Every automated message looks like it’s come from you. Your branding, your logo, your phone number. When a customer hits reply, it lands straight in your normal email inbox just like any other email.

Every message Checker sends on your behalf is also saved to your Checker outbox in the Email tab, so you’ve got a full record of what went out and when.

How to set this up in my.checker.app

These are the more advanced bits, so we’d suggest setting them up on a laptop or desktop rather than your phone.

  1. Sign in to my.checker.app from a desktop browser.
  2. Go to Templates to set up your automations and edit the wording so it sounds like you.
  3. Go to the Set Reminder Period tab to choose when each reminder goes out.
  4. Save your changes. Your automations start running on new jobs, quotes, invoices and customers straight away.

Frequently asked questions

Can I edit the default messages?

Yes. Every automation comes with sensible default wording, but you’re free to rewrite the subject line and body so it sounds like you.

Do automations work for OFTEC oil engineers?

Yes. The Annual Service Reminder is a real favourite with OFTEC-registered engineers for chasing yearly oil boiler services, and the default wording mentions safety and compliance.

Will customers know it’s automated?

No. Messages go out from your business email address with your branding and logo. To the customer, it looks like you’ve sat down and written it yourself.

What happens when a customer replies?

Replies come straight to your normal email inbox, just like any other email. A copy of every message Checker sends is also saved in your Checker outbox in the Email tab.

Can I switch a single automation off?

Yes. Each automation has its own on or off toggle, and the Invoice Chaser also lets you switch each of the three reminder steps on or off on their own.
