Refrigeration Software
We built Checker as job management software for UK refrigeration and air conditioning engineers, keeping F-Gas records, service reports and invoices on one job record, from £10.99 a month plus VAT.
A refrigeration job can start with a callout, turn into a leak check and finish with parts, refrigerant and a follow-up visit. We keep each stage against the same customer, site and asset, so the next engineer can see what happened before.
Air conditioning work fits here too. Both trades need clear service records, refrigerant histories, planned maintenance and paperwork that stays with the system rather than in a van, inbox or separate spreadsheet.
Use Checker on your phone, tablet or desktop. Record the work while the readings and parts are in front of you, send the report and invoice, then return to the same history when the site calls again.
Free for 30 days. No card needed.
Records from site
You can keep the service details, checks, refrigerant used, customer sign-off and finished report together. These are working records that you keep for the job. Checker does not register an engineer or send F-Gas information to a regulator.
| Job document | What it keeps together |
|---|---|
| F-Gas service and leak check records | The service work, checks, findings and actions taken on the equipment. |
| Refrigerant usage logs | The refrigerant added, recovered or removed during the job. |
| Installation and commissioning records | The details recorded when new equipment is installed and set up. |
| Maintenance checklists | The repeatable checks your engineer completes on each planned visit. |
| RAMS | The risk assessment and method statement kept with the work. |
| Customer sign-offs and service reports | The customer’s approval and the finished account of the visit. |
Records and reports are unlimited on every plan, with no charge each time you create one. For a broader view of the app across different trades, see Checker tradesman software.
Refrigerant history
Yes. Add refrigerant use to the job record while you are on site. The entry stays beside the service details, equipment history and customer record, which makes it easier to see what changed between visits.
When another engineer returns, they can work from the same history instead of relying on a handwritten label or a message from the last visit. That helps a one-person business and a growing team keep a consistent site record.
Repeat visits
Yes. Keep each visit against the customer and site, use maintenance checklists for repeatable work and set reminders for the next service. A reminder helps you create the next booking. It does not complete the check or the report for you.
This works for refrigeration and air conditioning service plans where several units sit at one site. The past job notes, refrigerant log and report stay available when the next visit is due. See how service reminders and the job diary help organise that work.
Paperwork and payment
Yes. Build a quote from the customer record, turn accepted work into an invoice and keep both beside the service report. If a callout becomes a repair, you can record the extra work without starting a second trail of paperwork.
Checker handles CIS, VAT and DRC without a separate spreadsheet. Zettle supports chip and pin payments, while Stripe supports pay-by-link. The invoice and payment trail stay connected to the job, so you can see what the customer has received and what remains unpaid.

Offline working
Yes. Record the job in a plant room, cold store or remote site even when your phone has no useful connection. Checker saves the work on the device and syncs it when you are back in range.
You can finish the notes while the readings, parts and equipment are still in front of you. There is no need to copy rough notes into the system later or wait by the door for a signal before moving to the next job.
Team access
Yes, on PRO+. Sub-users are PRO+ only and cost £10.99 a month each, plus VAT. Every sub-user gets a separate login under the business account.
Each engineer can open the jobs assigned to them and add the work they complete without sharing a password. The site history stays with the business, which matters when planned visits move between engineers or someone needs to return to a callout.
Accounts connected
Checker connects with Xero, QuickBooks and Sage on PRO and PRO+. Xero synchronises invoices and payments in both directions, so the same figures do not need to be entered once in Checker and again in Xero.
QuickBooks and Sage are supported too. The both-ways sync is Xero only, which is worth knowing before you pick a plan or connect your accounts package.
