A gas engineer moves a Commusoft account to a new system in March. The customer list, the job history and the invoices all land cleanly. Eight months later, a landlord who has used the business for six years does not get a call about her overdue annual gas safety check. The due date had lived only in Commusoft’s service-reminder list, a place nobody thought to check against the customer and job export everyone assumed was complete. She finds out when a new tenant asks for a valid certificate and there is not a current one to send.

What does a Commusoft service reminder record actually carry?

A reminder is not one fact. It is at least four: a due date, the job or certificate it belongs to, the channel the business uses to reach the customer, and whatever that customer has agreed to receive. Move three of the four and the missing one is usually the one that costs a landlord her certificate or a boiler owner a service she thought was booked.

Do not assume the same export that moves jobs and invoices cleanly also moves next year’s service due dates. How do you check every reminder due in the next twelve months before cutover?

Pull a list of everything due to fire between now and the same date next year, not just the reminders sitting in the next few weeks. A twelve-month window catches the annual gas safety check due next October just as well as the one due next August, and it is the annual reminders, not the weekly appointment nudges, that cause real damage when they drop silently.

Build a one-page ledger the office can actually check against, not a raw export nobody reads twice. Use the record’s own reference number, not a description someone might retype differently in the new system.
